How to track orders in Excel
A simple method for small shops and makers selling on more than one channel. Works in Excel and Google Sheets, no macros needed.
Step by step
- Make one row per order with an order number, date, customer, channel, item, quantity and price.
- Add Payment (Paid, Pending, Refunded) and Status (New, Packed, Shipped, Delivered) as dropdown lists so the spelling never changes.
- Calculate the total with a formula: quantity times unit price plus shipping.
- Build a small dashboard with SUMIFS for paid revenue and COUNTIFS for orders waiting to ship.
- Review the Waiting to ship number every morning.
Columns to include
Order #, Date, Customer, Channel, Item, Qty, Unit price, Shipping.
Numbers worth watching
Revenue (paid), Orders, Average order, Waiting to ship, Payments pending. Put them at the top of a dashboard tab so you see them every time you open the file.
Skip the setup
The Ordwell Order Tracker has all of this built: dropdown lists you control from one tab, formulas in green columns and a dashboard that updates as you type.
